Overview
Provide high-level administrative support such as greeting visitors at the front desk, handling information requests, preparing correspondence, coordinating meetings and schedules and general office support to the Business Office Manager.
Responsibilities:
- Supporting day-to-day operations by performing administrative tasks for manager, department, or team.
- Prepare invoices, reports, memos, letters, financial statements and other documents, using the Microsoft suite: word, excel, powerpoint etc.
- Open, sort, and distribute incoming correspondence, including faxes and email.
- Perform general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work.
- File and retrieve corporate documents, records, and reports.
- Prepare responses to correspondence containing routine inquiries.
- Prepare agendas and make arrangements for committee, board, and other meetings.
- Light cleaning around the office including the shared staff lounges, games room, on-site gym etc.
- Other tasks and responsibilities as required.
Required Qualifications
- Excellent communication skills and attention to detail
- Previous customer or client service experience is required
- Ability to multi-task with multiple priorities
- Strong organizational and planning skills with the ability to prioritize;
- High School Diploma (or GED or High School Equivalence Certificate)
- 2+ years experience working in an office environment
- Experience with Payworks or other payroll software would be considered an asset
Preferred Qualifications
- Working knowledge of Microsoft Office tools
This is a full-time in-office position (40 hrs per week).
Office hours are 8:00am - 4:30pm
Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.
Physical Demands:
This is largely a sedentary role.
